1. Introduction
TrustLink – সংগঠন আ্যপ is a secure, transparent, and modern organizational management platform designed to streamline internal operations, member management, financial ledger accounting, and member communications for social welfare organizations, associations, volunteer groups, cooperatives, and educational institutions.
We are strictly committed to complying with Google Play Store Policies and deeply respect our users' right to privacy. This Privacy Policy provides a clear, comprehensive, and transparent explanation of what information we collect, why we collect it, how it is secured, and user rights regarding account deletion.
2. Information We Collect
To deliver our record-keeping services, we collect specific information based on the user's role. We only collect data that is strictly necessary for the application's core functionality:
- Admin & Organizational Data: Organization name, logo, Admin’s name, profile picture, mobile number (used as a secure account login ID), email address, physical address (village, union, upazila, district), and fee parameters.
- Member Data: Member’s full name, profile photo, mobile number (used as login ID), profession, organizational designation, form number, and joining date.
- Financial & Ledger Records: Internal records of monthly subscription dues, collection statuses, instant receipts, and expense vouchers created by Admins. TrustLink does NOT process online monetary payments, credit cards, or banking transactions directly.
- User-Generated Content: Internal organizational notice board announcements, meeting decisions, and group chat messages.
3. Purpose of Data Collection
We do NOT sell, rent, trade, or monetize your personal data for advertising or marketing. All collected data is used exclusively for internal organizational functional purposes:
- Account Authentication: Utilizing mobile phone numbers to ensure secure authentication for Admins and Members.
- Organizational Directory & Ledgering: Empowering Admins to maintain digital member directories and record internal financial transactions with complete accuracy.
- Internal Communication: Facilitating real-time updates via internal group chats and distributing notices or meeting resolutions directly to member dashboards.
4. Role-Based Access, Multi-Tenant Isolation & Financial Transparency
TrustLink operates through a strict multi-tenant architectural design to guarantee data privacy and security across organizations:
- Strict Tenant Isolation: Each organization operates in a completely isolated environment. Admins and members of one organization CANNOT access, view, or modify the dashboard or records of another organization.
- Super Admin Access Limits: The Super Admin manages basic Admin setup accounts. The Super Admin has ZERO access to individual member profiles, internal financial logs, or group chat messages of any organization.
- Organization Admin (Org Admin): Holds administrative permissions to add, manage, or delete member profiles within their specific organization.
- Financial Transparency Policy: To maintain 100% financial integrity and prevent tampering or fraud, once an income or expense record/voucher is saved, it CANNOT be edited or deleted by any user or admin.
- Member View-Only Access: Members are granted restricted, view-only access to their personal profile, dues history, organization notice board, and participation in internal group discussions. Members cannot alter financial records or other members' data.
5. Third-Party Services & Data Security
TrustLink utilizes Google Firebase (Firestore & Firebase Storage) for reliable, cloud-hosted database management and secure data storage.
All transmitted user data is protected using Firebase’s industry-standard SSL/TLS encryption protocols. We do not integrate third-party advertising networks, analytics trackers, or commercial data brokers.
6. Data Sharing & Disclosure
Your personal information (including phone numbers, addresses, and photos) is treated as strictly confidential. We do not sell or share this information with external entities. Data may only be disclosed if required by law or a valid legal order from law enforcement authorities.
7. Data Retention & Account Deletion Policy
In strict compliance with Google Play’s Data Safety & Account Deletion Policy, users maintain full authority over their personal data:
- Member Data Removal: A member can request their Organization Admin to remove their profile. When an Org Admin deletes a member, all personal data associated with that specific member is permanently erased from our Firebase database.
- Organization Data Erasure: If an organization decides to discontinue using TrustLink, upon formal request, the Super Admin will delete the Admin account, which permanently purges all associated member records and financial logs.
- Direct Data Deletion Request via Email: Any user or admin can request immediate, permanent deletion of their account and associated data by emailing us at kahafcomputer1@gmail.com. Upon receiving and verifying the request, all requested personal data will be completely deleted from our servers within 30 calendar days.
8. Device Permissions (Play Store Compliance)
TrustLink requests minimal device permissions, solely necessary to enable specific core features. Users may grant or revoke permissions at any time via device settings:
- Camera & Storage / Photos: Required only when users choose to upload an organization logo, member profile photo, or attach an image within the internal Group Chat.
- Notifications (Optional): Required to alert users about new notices, meeting decisions, or chat messages.
9. Children's Privacy
TrustLink is designed for adult administrative use in managing organizations and institutions. We do not knowingly collect personal information directly from children under 13. If an educational institution uses the platform to record minor student data, that institution (Org Admin) is responsible for obtaining necessary parental or legal guardian consent.
10. Prohibited Use & Moderation
Users must not post unlawful, fraudulent, defamatory, or abusive content within group chats or notice boards. The Super Admin reserves the right to suspend or terminate accounts that violate community safety standards or Google Play content rules.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to align with legal regulations or app enhancements. Any updates will be published on this page with a revised "Effective Date".
